Smart Views

With smart views, you can create your own overviews of files you need often. This makes it easier to organize documents, quickly find relevant information, and collaborate on projects.

1. Create a smart view

  1. Open the folder structure in your organization or project.

  2. Click the + next to Smart View.

  3. You’ll see an overview of all documents within the project.

  4. Add filters to quickly create an overview.

  5. Save the smart view to share or reuse it.


2. Set up filters

  1. Click + Add Filter.

  2. Select the metadata you want to include in the view.

Remove a filter

  1. Click the filter you want to remove.

  2. Click - to remove the filter.


3. Set up sharing and notifications

When saving, you can set access permissions and configure notifications.

Access:

  • Only yourself

  • Selected project members

  • All project members

Email notifications:

  • Choose the day and time the notification is sent.

  • Invited users can turn their own notification settings on or off.

  • Only the creator of the view can change the notifications.

💡 Tip: You can tell who has shared the smart view with you by the icon next to their name.

⚠️ Note: Invited users cannot edit the original smart view. However, they can save it as a copy and change their own notification settings.


4. View the full list

Not all documents are displayed by default. Want to see the full list? Click Show the full list.
