Manage Rights

To ensure that everyone has access to the correct data and actions, assign them permissions. To do this, navigate to "Access" in the right-hand menu. Select the person or group whose permissions you want to view or edit.

1. Set Permissions

  1. In the project or organization, go to Access in the right-hand menu.

  2. Go to Files.

  3. Select the user or group.

  4. Adjust permissions on a per-folder basis.

To clearly see which permissions a user has, turn on the “Show final permissions” toggle in the top-right corner. Turn the toggle off again to continue editing.

The green icon to the right of the permissions indicates whether someone has been granted permissions through a group. When permissions are assigned to a user by a group,

💡 Tip: If a user has both group and individual permissions, the higher-level permission takes precedence.


2. What do the permissions mean?

  • Files — Can a user view all files, only finalized files, only their own files, or not view the folder at all?

  • Versions — Can a user view all versions, only approved versions, or only their own versions and the most recently approved version?

  • Delete — Can a user delete files? Optionally, choose “only their own files.”

  • Edit — Is a user allowed to edit files? Optionally, select “only their own files.”

  • Create subfolders — Can a user create subfolders?

  • Modify folder permissions — Can someone grant permissions for this folder to others?

  • Delete folder — Can a user delete this folder and its subfolders?

  • Create documents/versions — Can someone upload new files or versions?

  • Set as Final — Can a user mark files as final?

  • Set approval — Can someone approve files?

  • Arrow — use this to revoke all permissions for that folder at once.

  • Stop inheriting permissions — users automatically receive the same permissions for subfolders as for the parent folder. Toggle this switch to set different permissions for a subfolder.


3. Permissions for a specific folder

You can also set permissions for a single specific folder.

  1. In your organization or project, go to Files.

  2. Go to Folders.

  3. Click the three dots next to the folder.

  4. Select Edit Access.

  5. Edit the permissions for users or groups.

  6. Click Save.
